Why set up the WhatsApp and CRM before the first ad?

An ad buys a short window of attention. In Sharjah that window often opens late. A parent in Muwaileh or a shopper in Al Majaz taps your ad at 9 pm and expects an answer on WhatsApp, in Arabic or English. If the number is one person’s phone and nobody replies until morning, you paid for the click and lost the chat.

A new company feels this most. You have no customer list, no reviews and no routine yet, so every chat counts. Here is the arithmetic with assumed numbers, not a result from any client. You spend AED 3,000 on ads and 60 people message you. If 12 of them book, each booking cost AED 250 (3,000 ÷ 12). Say a follow-up on day 1, day 3 and day 7 brings 6 more bookings from the same 60 chats. Now 18 book, and each costs AED 167 (3,000 ÷ 18). The ad spend did not change. The system after the click did. Start with a small budget while you test the number, the answers and the follow-ups, and raise it once chats turn into bookings.

What should a new Sharjah company have in place, and in what order?

Six things, in this order. It is our process, not a Meta or government requirement, and each step feeds the next.

Setup order before the first ad. This is Webly’s process, not a rule from Meta or any regulator.
StepHave readyWithout it
1. Business detailsLegal name, address, phone and website, typed exactly as on your trade licenceLater forms, including Meta’s, get filled in with details that differ from your licence
2. WhatsApp numberA number the company owns and will keep, not a staff member’s phoneThe number printed on your ads is one you cannot take with you
3. Answer listPrices, hours, location, what is included, how to book, and what goes to a person. You sign it offThe AI agent either stays silent or guesses
4. CRM stagesStages from New to Paid, an owner on every lead, and an alert when a chat sits for 2 daysLeads live in one phone with no owner
5. Follow-upsMessages on day 1, 3 and 7 after a quote, approved by youThe quote goes out and nobody asks again
6. Payment and sourceA payment link that moves the deal to “Paid”, and each lead tagged with the ad it came fromYou know what you spent, not which ad brought a paying customer

Steps 1 and 2 decide how long everything else takes, so start them first. Our guide to the documents for the WhatsApp Business API lists what Meta compares with your licence. Who holds the number matters from day one, so read who owns your WhatsApp number and data before you sign with anyone, us included.

Does a Shams, other free-zone or mainland licence change the setup?

Not on the WhatsApp and CRM side. They need your business details and a number, whichever licence you hold. A licence changes your paperwork and where you may operate. Ask your licensing authority about that, because we do not advise on it. The one overlap is step 1: copy your legal name and address from the licence exactly.

Sharjah Media City (Shams) is one option creative startups look at. Its own site says it is a free zone for media and creativity, set up in 2017 by an Emiri decree, and that it offers licences and administrative support to startups, small and medium companies and freelancers. We mention it as context only, not as advice on where to register.

  1. Customer: Hi, I saw your Instagram ad. Can you deep clean a 2-bedroom flat in Al Khan?
  2. AI agent: Hi, yes we can. Two quick questions so I give you the right price: how many bathrooms, and which day suits you?
  3. Customer: 2 bathrooms. Saturday.
  4. AI agent: Saturday 10 am or Sunday 3 pm are free. Which one should I hold for you?
  5. CRM: new lead from the Instagram ad, stage “Slot offered”, owner assigned, day-1 follow-up queued.
An example, not a real client chat: the first chat of a new company, set up before the ad ran.

What does the first week look like once it is set up?

The agent answers from the list you signed off, and every chat becomes a lead with its ad source. If nobody replies after the quote, the follow-ups go out on day 1, 3 and 7 from templates Webly writes and submits to Meta. Each month you get a report that ties ad spend to the payments it led to. Ad spend is paid to the platforms directly.

What if the customer says “I will think about it”? The chat stays in its stage. After 2 days without movement the CRM alerts the owner, and the day-1, 3 and 7 messages keep asking in the customer’s language. A person takes over the moment the customer asks for one.

Before you pay for the first ad, tick this:

  • The number on the ad answers when you message it from another phone at 10 pm.
  • Ten answers are written, and you have read every one.
  • A new chat creates a lead with a source and an owner, with no typing.
  • A quote starts the day-1, day-3 and day-7 follow-ups.
  • A payment link turns the deal to “Paid” without anyone updating it by hand.

Few chats a day? You can start on the WhatsApp Business app and move later. WhatsApp Business app vs API shows when to switch. To budget the ads, see what a click-to-WhatsApp lead costs in the UAE.
