CRM for Training Institutes: From the First Question to the Paid Seat
A CRM for training institutes keeps every student and parent inquiry in one pipeline, from the ad to the paid registration. Webly connects it to your official WhatsApp number and an AI agent that answers in Arabic and English, books placement tests and trial classes, follows up, and sends the fee link in the chat.
Why do inquiries go cold between the ad and the first class?
Your ad for the new term goes live on Sunday. By Tuesday, the admissions phone holds dozens of chats: “Which level am I?”, “Is there an evening group?”, “Do you have a class for a 6-year-old?”
Parents write at 10 pm, once the children are asleep; working adults write at lunch. Your team replies the next morning, between walk-ins and calls, from one phone. Placement tests go into a notebook, and the trial class that went well never gets a follow-up.
So the seat you paid an ad to fill stays empty, and nobody can say which ad brought the students who did pay.
You also sell to two buyers. Adults enrolling themselves ask about evening groups, levels and certificates. Parents ask about age groups, after-school times, trial classes and a place for a sibling. Both expect a WhatsApp reply the same evening.
How the system moves a student from the ad to the first class
- The ad, minute 0 A parent taps your Instagram ad for the January term and writes. The CRM opens a card on that course and intake, with the ad saved on it.
- WhatsApp, the same second The chat arrives on your official WhatsApp Business API number, in one inbox your whole admissions team can see.
- The AI agent, within seconds Unlike a menu-style course registration bot, it reads what people type, answers from your approved list of courses, levels, schedules, branches, start dates and fees, then books a placement test or trial class in your calendar. More on the AI sales agent for WhatsApp.
- The CRM, before and after the class A reminder goes out the day before the test. After the trial class, follow-ups go out on day 1, 3 and 7 in the parent’s language, and stop when they reply.
- The fee, in the same chat Once the level is confirmed, the registration-fee or deposit link goes out in the chat. Once paid, the card moves to “Paid”, counted toward the ad and the intake.
- Parent: Hi, do you have maths tutoring for my daughter? Year 8, British curriculum.
- AI agent: Hi! I’m the center’s AI assistant. Yes: Mondays and Wednesdays at 5 pm, in small groups. Shall we book a short assessment first, so she joins the right group?
- Parent: Yes please. She finds algebra hard.
- AI agent: Noted for the tutor. The assessment takes 30 minutes: Saturday at 10 am or Sunday at 4 pm?
- Parent: Saturday 10 am
- AI agent: Booked for Saturday at 10 am. I’ll send a reminder here on Friday, with the branch location.
- CRM: parent saved with the child’s year and the ad; card in “Test booked” for Year 8 maths, January term; Friday reminder queued.
How does the CRM track each course and intake?
Every inquiry is a card on the course and intake it asked about, so you watch each group fill up. For a training center, the stages usually are:
- New inquiry The course, intake and ad, plus the parent’s details for a child.
- Test or trial booked A date in your calendar, with a reminder the day before.
- Enrolled The level is confirmed and the fee link is sent. If it stays unpaid for 2 days, the card’s owner gets an alert.
- Paid The card closes, the student joins the intake’s list, and the fee counts toward the ad.
When a group is full, new inquiries go to “Waitlist”, not “Lost”. When a seat opens, or the next intake is announced, the waitlist hears first. “No reply” and “Lost”, with the reason, show where students drop out.
How do you fill the next term, the summer and the September intake?
Your best leads for next term are your current students. Before each term, those who agreed to hear from you get their next level, start date and fee link on WhatsApp. We write those templates and submit them to Meta for approval; Meta’s opt-in rules are explained on our WhatsApp Business API page.
Seasonal intakes work the same way. Before summer, Ramadan or September, we update the agent’s approved answers with the new timetable and fees. A parent asking about the summer camp gets this year’s dates, not last year’s.
Each month, one report from your WhatsApp CRM shows which ads filled which intake: inquiries, tests booked, seats paid and fees collected per ad. Next season’s budget goes to the ads that filled seats.
We set it all up from our office in Sharjah for training centers across the UAE, and run it with you every month.
WhatsApp automation for training centers, live in two weeks
What you get
- Your official WhatsApp number on the API, with one shared inbox for admissions.
- An AI agent answering from your approved course list in Arabic and English, 24/7, with handover to your team.
- Placement tests and trial classes booked in your calendar, with reminders.
- A pipeline per course and intake, with a waitlist and follow-ups on day 1, 3 and 7.
- Registration-fee or deposit links in the chat; a paid link moves the card to “Paid” by itself.
- Past students moved from Excel, team training on desktop and mobile, and a monthly report and chat review.
What it does not include
- Placement decisions: the agent books the test, and your teachers set the level.
- Ad spend: if ads are part of your system, the budget is paid to the ad platforms directly.
- What you advertise: course names, fees and promises come from you; the agent repeats only what you signed off.
