Why do salons and garages lose bookings on WhatsApp?
Customers write when it suits them: at 11 pm, in a lunch break, from the car park. A booking is never one message. You need the service, the stylist or bay, how long it takes and a free time. That is 4 to 6 messages in both directions.
Your receptionist is with a client, or has gone home. The customer asks the next salon or garage on the list and books whoever answers first with a clear time.
Three more leaks follow. Bookings sit in a notebook, a chat and a calendar, so two clients get the same slot. Nobody reminds the customer, so some do not come. And a slot that was cancelled the night before stays empty because nobody offered it to anyone else.
Be clear about what this replaces. It does not replace the person who greets a customer at the desk. It replaces typing the same six questions all day, and the hours when nobody is there to type.
What does a WhatsApp booking look like, step by step?
This is the flow we set up for a business that sells time. The example is a hair salon. A garage follows the same steps with a service bay instead of a stylist.
- The customer writes to your number. They tap a WhatsApp button on your Google listing, your Instagram or your ad, or just save the number. It is your own number on the official WhatsApp Business API.
- The agent asks what a receptionist would. Service first, then the stylist or bay, then whether it is a first visit.
- It offers only times that fit. It reads the calendar of that stylist or bay and shows the start times where the whole job fits.
- It books one. The slot lands in the calendar and the customer gets the confirmation in the chat.
- A deposit holds long services. If you ask for a deposit, a payment link goes out in the same chat and the record shows “Paid” once it is paid.
- A reminder goes the day before, with a button to confirm or change the time.
- A person takes over for anything outside your rules, with the whole chat in front of them.
- Monday, 23:10. The salon is closed. The customer opens WhatsApp from the salon’s Google listing.
- Customer: Hi, cut and colour on Friday evening please, with Maha
- AI agent: Hi Noor! Cut and colour with Maha takes 2 hours 30 minutes. On Friday she can start at 16:00, 16:30, 17:00 or 17:30. Buttons: 16:00, 17:00, More times
- Customer: 17:00
- AI agent: Friday 30 October, 17:00 with Maha. This service needs a deposit to hold the slot. Here is your payment link.
- CRM: Friday 17:00 to 19:30 held in Maha’s calendar, record marked “Paid” after the payment, reminder set for Thursday.
How does the agent decide which times to offer?
It does arithmetic on the calendar, not guesswork. Take the chat above. Maha works 10:00 to 20:00 on Friday. One client has her from 10:00 to 12:30 and another from 14:00 to 16:00.
- The gap from 12:30 to 14:00 is 90 minutes. Cut and colour needs 150, so the agent never offers 13:00.
- From 16:00 to 20:00 is 240 minutes. The last start that still ends by 20:00 is 20:00 minus 150 minutes, which is 17:30.
- On a 30-minute grid that leaves 4 starts: 16:00, 16:30, 17:00 and 17:30.
A garage counts bay-hours the same way. Two bays open 08:00 to 18:00 give 2 × 10 = 20 bay-hours a day. One 2-hour brake job and three 1-hour oil changes use 5 of them. The agent still offers a new 2-hour job only where one bay has 2 free hours in a row, not wherever 15 hours add up.
Free time is not the only limit. You tell us how long each service takes, how much gap you want between clients, and which stylist or bay can do which job. The agent follows those rules, and your team can still block a slot by hand.
What do we set up with you before launch?
The agent only knows what you give it. Before it takes a single booking, you sign off the service list, the lengths, the questions and the hand-over rules. The table shows how that differs by type of business.
| Setup item | Salon or spa | Garage or car service |
|---|---|---|
| One calendar per | Stylist or therapist, each with their own hours | Service bay (and a technician if you want) |
| Length of a booking | Per service, for example cut and colour 150 minutes | Per job, for example oil change 60 minutes, brake pads 120 minutes |
| Questions before booking | Service, preferred stylist, first visit or returning | Make, model, service, any warning light on the dashboard |
| Deposit | A payment link for long services, if you want one | Optional, for large jobs |
| Left to your team | Bridal and group bookings, complaints | Diagnosis and the final price after inspection |
Which WhatsApp rules shape booking and reminders?
Meta sets limits that decide how the chat is built. We design the flow around them:
- Buttons and lists. One message can carry up to 3 reply buttons, or a list with up to 10 rows in total. Three buttons suit “16:00, 17:00, More times”. A list suits a service menu. Button labels are capped at 20 characters, so service names stay short.
- The 24-hour window. When a customer messages you, a 24-hour customer service window opens, and each new message from them resets it. Inside it the agent replies freely. Once it closes, you can send only pre-approved templates.
- Reminders are templates. A reminder the day before usually falls outside the window, so it goes as a template. We write the Arabic and English versions and submit them. The no-show article for clinics walks through the template rules in detail, and the same logic applies to a salon.
- Opt-in. Meta states that you can only message customers who have opted in, so the opt-in belongs on the customer’s CRM card.
- Cost. Message fees are paid to Meta. The WhatsApp API pricing article has the UAE rates, so we do not repeat numbers here.
If you answer from the WhatsApp Business app today, the app versus the API shows what changes. For the full flow from ad to payment, see the WhatsApp CRM and WhatsApp payment links.
What stays with your team?
Automatic booking works because it is narrow. Decide these before you switch it on:
- Who answers when the agent hands over, and by when.
- What happens to walk-ins. The calendar must show them, or the agent will offer a slot that is already taken.
- Your cancellation rule, and whether a deposit is refundable.
- Changed hours, such as Ramadan or holiday hours, entered per stylist or bay.
- What the agent must never answer: diagnosing a car fault, a price outside your list, a complaint, a refund.
