Where do property leads get lost on WhatsApp?
Most property leads are not lost to a better broker. They are lost in four gaps:
- The first reply is slow. The inquiry arrives at 9 pm while your broker is at a viewing, driving or asleep. The buyer writes to the next office, and the first useful answer gets the conversation.
- Nobody qualifies. “Yes, available, when can you come?” is a reply, not a qualification. A broker spends a morning on a buyer who wants another area, a ready home instead of off-plan, or half the price, while a serious cash buyer waits in the same queue.
- The same buyer writes to several brokers. The buyer answers whoever replied first and goes quiet on the rest. Inside your office, a buyer who came from an ad and from a listing can get two calls from two brokers.
- Decisions take weeks. An off-plan buyer compares payment plans, waits for a mortgage answer and asks the family. The broker calls twice, hears “later” and moves on. A resale buyer decides faster but goes silent after the viewing.
A follow-up system closes these gaps with rules, not memory.
How does a WhatsApp follow-up system work, step by step?
- Reply in seconds. Your click-to-WhatsApp ad opens the chat and the AI agent answers in 5 seconds, in Arabic or English, day or night. The buyer’s message opens a 24-hour window for free-form replies, and each new message restarts it. If the buyer tapped the ad on a phone, your reply inside the window also opens a free entry point window that can stay open for up to 7 days, and Meta does not charge for template or service messages in it.
- Qualify in the chat. The agent asks short questions, one or two at a time: budget, area, ready or off-plan, timeline, cash or mortgage. Answers go on the lead’s record. It answers only from a list your office signs off; yields, mortgages and “should I buy?” go to a broker.
- Route with the whole chat. The CRM gives the lead one owner, by area, language or turn, and alerts that broker on the phone with the chat and the answers.
- Book the viewing and send a reminder. Ready buyers pick a viewing slot, off-plan buyers a call about the project and its payment plan. A reminder goes out before it.
- Nurture the buyers who are not ready, as below.
Steps 1 to 4, as an example chat:
- Buyer: Hi, I saw your ad. Do you have 1-bedroom apartments in Sharjah?
- AI agent: Hi! I’m the office’s AI assistant. Yes, we have a few. Are you looking for a ready home, or off-plan?
- Buyer: Off-plan maybe, no rush
- AI agent: Got it. What budget do you have in mind, and which area: Sharjah, Ajman or both?
- Buyer: Around 600k. Either one
- AI agent: Thanks. Would you pay cash or use a mortgage?
- Buyer: Mortgage. I’d decide early next year
- AI agent: Noted. Our off-plan broker can call you this week about payment plans: Thursday 18:00 or Friday 11:00?
- Buyer: Thursday 18:00
- AI agent: Booked. May our office also send you new options in your budget on this number, now and then? Reply YES, and STOP any time.
- Buyer: Yes
- CRM: off-plan, mortgage, AED 600,000, Sharjah or Ajman, decision early next year. Owner: the off-plan broker, call Thursday 18:00. Opt-in saved. Track: nurture.
What can you send a buyer who is not ready?
After 24 hours without a message from the buyer, the window closes. Meta’s policy then allows only approved templates, and only to people who opted in. Meta’s opt-in requirements are short: state clearly that the person is opting in to messages from you, name your business, and comply with the law that applies. Meta leaves the method to you and says any method that meets these requirements is policy compliant; its examples are SMS, a website, an automated phone menu and a signed paper form. So a clear yes in the chat can meet the first two, if the question names your brokerage and says what you will send.
You write each template, Meta reviews it (up to 24 hours) and decides its category, which sets the price:
- A reminder for a viewing the buyer booked is specific to them and not promotional: Meta’s two tests for utility.
- “New options in your budget”, a payment-plan update or “still looking?” are marketing. Meta counts offers, recommendations and other calls to action sent to people who engaged with you as marketing, even when the person asked for them.
- A promotion inside a reminder makes the whole template marketing. A utility template that Meta judges to be marketing is approved as marketing, and repeated misuse can bring restrictions.
WhatsApp may limit how many marketing templates one person receives from all businesses, depending on factors such as how often they read them. People can block or report you, and a template with recurring complaints or low read rates can be paused. A paused template cannot be sent.
Day 1, 3 and 7 are the default follow-ups, and they stop the moment the buyer replies. If you choose, the same mechanism can then run a slower track for a buyer who said “early next year”, for example one approved message every 2 to 3 weeks: a new option in the buyer’s budget and area, or a payment-plan update. Any reply returns the chat to the owner.
For UAE numbers, marketing is the most expensive category, so count it. An example: 200 buyers each get 6 marketing templates over three months, all on +971 numbers and outside any free entry point window. At Meta’s UAE marketing rate of AED 0.2115 (since 1 October 2026), 200 × 6 = 1,200 messages, and 1,200 × AED 0.2115 = AED 253.80, about AED 1.27 a buyer. Rates follow each number’s country code: see our WhatsApp API pricing article.
Property advertising can also need a permit, so ask the emirate’s authority whether a WhatsApp message that promotes a listing counts as advertising. In Ajman, the Department of Land and Real Estate Regulation issues a real estate advertising permit, and its documents include the owner’s no-objection letter or a legally certified power of attorney. For Sharjah, ask Sharjah’s own real estate authority; do not apply another emirate’s rules.
Which CRM stages show who to call today?
Each stage has a trigger and a next action, so the morning list comes from the CRM, not from memory. A lead that sits in a stage for 2 days alerts its owner.
| Stage | What triggers it | Message or task |
|---|---|---|
| New inquiry | The buyer taps the ad or a listing’s WhatsApp button | The AI agent replies in 5 seconds and starts the questions |
| Qualified | Budget, area, ready or off-plan, timeline and payment method answered | The owner gets a phone alert with the chat. Moving next month: call today. Moving next year: nurture |
| Viewing booked | The buyer picks a viewing slot, or a call for off-plan | Confirmation now, reminder before the visit |
| Nurture | The buyer is not ready and agreed to updates | Day 1, 3 and 7, then an optional slower track of approved templates. A reply goes back to the owner |
| Offer | The broker moves the lead after the viewing or call | Task: send the details and follow up |
| Closed | Deal agreed, or the booking fee paid where one is taken | Payment link in the chat; the card moves to “Paid” by itself and the report credits the ad |
Resale and off-plan buyers share one pipeline with different next steps. See the WhatsApp CRM and AI sales agent for WhatsApp pages for detail. We run it from our office in Sharjah; more on the blog.
